RC IT Services is a trading name of RC IT Services Ltd, registered in England and Wales, company number 16633020. This policy explains how personal information is handled when you use this website or contact us about our services.
Information involved when you visit
The website is hosted on Cloudflare Pages. When your browser requests a page or asset, Cloudflare receives technical information needed to deliver and protect the website, such as your IP address, requested URL, browser information and request time. The information processed and retained by Cloudflare depends on the hosting and security services in use.
Google Analytics is optional and loads only after you choose “Accept analytics”. If you reject it or have not made a choice, we do not load the Google Analytics tag. Fonts, website images, partner logos and the Leaflet map software are served with the website.
Enquiries and the contact form
If you email or call us, we receive the information you choose to share. This may include your name, business, contact details and information about the work or support you need.
When direct submission is enabled, the form sends your name, email address, company, phone number and message to a Cloudflare Pages Function. Cloudflare Turnstile checks the submission to help prevent spam, and Resend delivers the enquiry to our inbox. The website does not store enquiries in a website database. Delivery records may be held by Resend and the message is retained in our email system.
If direct submission is unavailable and the button says “Open email app”, the form prepares a message in your own email application instead. You must send it there before we receive it. Your email provider handles that message under its own privacy arrangements.
Please do not include passwords, payment card information or other sensitive information in an initial enquiry.
How we use information you send
- Responding to enquiries and discussing proposed work.
- Assessing requirements, preparing quotations and arranging agreed services.
- Communicating about support, visits, project progress and invoices.
- Maintaining records needed to administer the customer relationship and meet applicable obligations.
Depending on the purpose, processing may be necessary to take steps at your request before a contract, deliver an agreed contract, meet legal obligations, or support legitimate interests such as responding to business enquiries and operating and protecting our services. Where processing relies on consent, that consent can be withdrawn.
The coverage map
The Contact page uses Leaflet, served with this website, to display our approximate local coverage boundary. It loads map tiles from OpenStreetMap automatically when the page opens. OpenStreetMap receives technical information needed to serve the tiles, such as your IP address, browser information and referring website. Form fields are not sent to OpenStreetMap, and the map does not request your device location.
The coverage boundary is a guide to normal local visits. Read the OpenStreetMap Foundation Privacy Policy for information about its tile service.

Sharing and service providers
We do not sell personal information. Information may be handled by providers needed to operate the website and communicate or deliver agreed services, or disclosed where required by law. These include Cloudflare for hosting, security and Turnstile verification, Resend for direct enquiry email delivery when enabled, OpenStreetMap for map tiles, and Google for optional analytics after consent. Your own email provider handles messages sent through your email application.
These providers may process information internationally. Their processing locations, retention arrangements and transfer safeguards are described in their own policies. Read the Cloudflare Privacy Policy, Resend Privacy Policy and OpenStreetMap Foundation Privacy Policy.

Retention and security
Enquiry and service records are retained according to their purpose, the customer relationship and applicable record keeping requirements. Contact us if you need information about the retention of a particular enquiry or customer record.
The website uses HTTPS. Access to information received through enquiries and customer communications should be limited to those who need it for the relevant work. No website or email service can guarantee complete security.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict or object to processing, and receive certain information in a portable form. Where processing relies on consent, you may withdraw it. Some information may need to be retained to meet legal obligations.
For privacy enquiries or to exercise your rights, email [email protected]. You can also complain to the UK Information Commissioner’s Office through ico.org.uk.
Changes to this policy
We will update this policy when the website or relevant information handling arrangements change. The date above identifies the latest update.
Optional Google Analytics
With your consent, Google Analytics measures page views and actions such as selecting a contact link or submitting an enquiry. Google processes technical data such as browser and device details, cookie identifiers and your IP address as part of receiving these requests. This information may be processed internationally.
Our explicit analytics events use canonical page addresses without query strings or fragments and exclude enquiry contents, names, email addresses and phone numbers. Advertising features and Google Signals are disabled in the tag configuration.
You can withdraw consent using “Analytics settings” in the footer. We then disable further analytics collection by the tag and remove accessible Google Analytics cookies for this website. Withdrawing consent does not erase information already processed by Google. Analytics retention also depends on the settings of our Google Analytics property.
